1. Information we collect
We may collect information you provide directly to us, including:
- name, email address, business contact information, and account credentials;
- dealership, location, employee, role, and vendor information;
- vehicle, inspection, reconditioning, task, approval, workflow, and status information;
- photos, notes, issue descriptions, and other content uploaded to the service;
- information submitted through demo, information-request, onboarding, or support-related communications.
We may also collect technical information automatically, such as device type, browser, Internet Protocol address, timestamps, application logs, and usage information needed to operate, secure, and improve the service.
2. How we use information
We may use information to:
- provide, operate, maintain, and secure NextPhase Recon;
- authenticate users and enforce role-based access;
- create and coordinate reconditioning tasks, dependencies, approvals, and notifications;
- respond to inquiries, demo requests, and customer communications;
- diagnose technical issues and improve product reliability and usability;
- protect against fraud, abuse, unauthorized access, or other security risks;
- comply with applicable legal obligations and enforce our agreements.
3. Artificial Intelligence processing
Certain NextPhase Recon features use Artificial Intelligence (AI) to interpret unstructured information, such as inspection notes or issue descriptions, and convert that information into structured work.
AI processing may be performed using third-party service providers acting on our behalf. NextPhase Recon is designed so AI interprets unstructured information while deterministic application logic controls business rules, permissions, approvals, dependencies, and orchestration.
Customers should avoid submitting personal information that is not reasonably needed for dealership reconditioning operations.
4. How we share information
We may share information in the following circumstances:
- Within your dealership: with authorized users based on their role and permissions.
- With vendors: only the information necessary for work assigned through secure, limited-access links.
- With service providers: companies that help us provide hosting, infrastructure, authentication, communications, analytics, Artificial Intelligence processing, and other operational services.
- For legal or safety reasons: when required by law or reasonably necessary to protect rights, security, users, or the public.
- Business transactions: in connection with a merger, financing, acquisition, reorganization, or sale of all or part of the business.
We do not sell personal information to advertisers.
5. Cookies and similar technologies

6. Data retention
We retain information for as long as reasonably necessary to provide the service, maintain business and security records, comply with legal obligations, resolve disputes, and enforce agreements.
Retention periods may vary depending on the type of information, the customer relationship, and applicable legal or operational requirements.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices and privacy rights
